Brief 03 of 7 · Sales & Customer Experience

From RFQ to invoice.

Everything a customer touches — quoting hundreds of line items, EDI flows, portals, and the moments a human still has to re-key data.

Estimated time22 – 28 minutes

Sales is where the ERP meets the customer. Every friction here — slow quotes, missed EDI transactions, VMI bills that need manual reconciliation — shows up in customer satisfaction and margin. Your answers make the ERP proposal about revenue, not about tables and screens.

We know Bamal serves the world's largest manufacturers with Class-C items — which usually means hundreds of line items per RFQ, tight margins, strict EDI requirements, and VMI programs where the customer never issues a PO. What we don't know is how that flow actually runs today.

How this brief works

Answer at your paceEvery keystroke saves to your browser. Close the tab and come back — your answers persist until you submit.
Prose is fine, bullets are betterFull sentences or crisp phrases both work. Attach a doc later if easier.
Skip what doesn't applyIf a question doesn't fit or you'd rather discuss it live, leave it blank and note "let's talk".

01
The lifecycle

Order flow

Walk us through what the ERP does, and where humans fill in the gaps.

Where does it get stuck? Where do humans re-key data between systems? How many touchpoints per order on average?
EDI, customer portal, email PO, phone, e-commerce store, VMI auto-generated. Rough splits are fine.
And how much of that is waiting for pricing / sourcing / engineering.
02
The judgment call

Pricing & quoting

Class-C quoting is a specialty. The ERP either makes it faster or makes it slower.

Where AI usually earns its keep first: auto-drafting quotes for large Class-C RFQs by pulling historical pricing, contract terms, and current cost bands — leaving the buyer / rep to review and adjust rather than build from scratch.
Cost-plus? Contract-driven? Tier-based? Reps' judgment? Where does the ERP help, where do people override it?
And how often do prices need to change (raw-material passes, FX, negotiated resets)?
Honest answer. Helps size the AI opportunity.
03
Customer plumbing

EDI & portals

The connections you already can't afford to break.

EDI (which docs — 850, 855, 856, 810, 861), customer portal (Ariba, Coupa, SAP, custom), email, VMI-driven. And any customer that requires you to log into their system.
Any customer where a break would cost you the contract.
Rejected 850s, missing 856 ASNs, invoicing disputes. Who watches the queue?
04
Programs & billing

VMI commercials

VMI is powerful when the billing works and dangerous when it doesn't.

And how much of that reconciliation is manual.
Under-billed consumption, missed contract escalators, freight not passed through, small-order fees not applied.
05
Voice of customer

What customers actually complain about

The complaints that recur are the specification of what the new ERP must fix.

Backorders, quote turnaround, invoice accuracy, EDI errors, VMI stockouts, lack of visibility into their own consumption.
A customer portal for consumption analytics, self-service order status, e-invoices, automated reordering — anything.
The way you quote, how reps escalate, the way you handle a strategic customer’s exceptions. The moat we need to preserve as logic in the new system.
